Note
- Final wedding rundown (includes wedding programs, decoration ideas, layout and person in charge details during the event from client/organize side) is required to submit to resort by latest 15 days prior to the event to ensure the smooth running and success of client's event accordingly.
- Any changes of the final rundown, which involves the resort such as the wedding venue, timing and food & beverage details after 15 days prior to the event is mandatory by client to advise to the resort by latest two weeks prior to the event, otherwise resort only to follow the first wedding rundown that submitted already. Any changes in venue are subject to availability.
- Final program, decorations ideas and rundown of the event submitted at least 35 days prior to the event to ensure the smooth running and success of client's event accordingly.
- A back up plan is required for any events held at Samabe Bali Suites & Villas in case of adverse weather conditions. Should the bad weather (rain) come on the event day, it is mandatory for client to decide the final venue by latest 6 hours prior to the event.
- Client entitled for wedding rehearsal before the wedding event based on venue availability.
- Final meeting is required between the resort, client and the involving outsourced vendors by latest two weeks prior to the event.
- No entrance fee/handling fee applied for bringing outside vendors such as photographer, videographer, and florist and else except outside catering, prohibited into the resort.
- Silent generator is allowed to bring into the resort (where needed).
- The organizers/clients should submit list of outsourced vendors. All outsourced vendors should always be in appropriate uniform and submit identity card at the security office.
- No vendors should smoke, lounging and eating in the resort’s public area during setup.
- No signage of any kind permitted in the lobby or on the public ground. Additional signage standee brought by organizer or client should be with prior discussion.
- Installations are only allowed using wire/sting (Prohibited: nailing, screws, glue, staples, tape or any other substance) to prevent damage to the fine fixtures and furnishings.
- The client will be responsible for all damages to the property and equipment of the resorts, which is cause directly or indirectly by the client, their guests or appointed third parties; whether it is due to negligence and/or wilful actions during the function,or set up and/or removal of the client’s equipment and goods within the villa premises. The resort will not be responsible for any loss and/or damage of goods and equipment brought in by the client. The client shall abide by the instructions of the resort concerning the transportation and set up of the said equipment or goods within the property. In addition, the resort shall not oblige to provide labour for such, unless arrangements have made and agreed prior to the function. It is requestedthat all respective outsourced properties should be collected within 24 hours of client's event’s conclusion. In the event that the properties deposited not collected within 7 days, the resort reserves the right to dispose of all remaining properties.
FOOD TESTING
- Menu / food testing are only conducted a minimum 30 days prior to wedding. Food testing is on complimentary for 1 session for up to 4 guests. Additional food testing service request will be subject to the menu price and number of guests.
- Food testing for Buffet will be limited to certain pre-selected items on appetizer, hot item, soup and dessert only, no live carving or BBQ grilled items is able to tasted.
Outsourced Food
- The hotel does not encourage any food outsourced outside from the hotel. Should client request specific food that are beyond the catering capabilities of our culinary team, the outsourced food will be subject to hotels policy and regulation and will incur handling fee(s) that will be discussed and agreed by the client upon receiving detail information of the food items itself. An indemnity form will be issued to be signed by client or vendor as liability cover.
- Outsourced wedding cake will be subject to IDR 800.000 net for service and handling fee.
- Outsourced food from vendor meal ordered by Organizer will need to go through security/loading area (not through main lobby
Room Drops (Buy Out Already Included)
- For deliveries to guestrooms the Samabe charges a flat fee of IDR 50.000 per room, per delivery.
Takeaway Box
- Samabe does not permit and consumption of take away box (nasi bungkus) in any of the public or private area.
Indemnification
- The Organizer shall indemnify the Samabe Bali and at all times hereafter keep indemnified the other party, its officer, directors, employees and agents from against all claims, liabilities and damages suffered by or incurred by reason of the failure or default by the Organization to perform and observe any of its obligations under this agreement except to the extent that such failure or default is due to the gross negligence or wilful default of the Samabe Bali.
Damages To Samabe Bali
- The Organizer will be responsible for all damages caused either to the venue or any other part of the Samabe Resort by any persons in attendance at the event (other than those under the control or direction of the Samabe Bali)
- Should there be any contractors engaged by the organizer for the respective event and must immediately pay to the Samabe Bali on demand the cost of rectification of any damage
- The organizer kindly obtains the prior written consent of the Samabe Bali before engages any outside contractors for the event.
Governing Law
- All disputes relating to the performance of and/or interpretations of any term provision of the agreement shall be governed by the law of Indonesia
Displays
- All additional Displays and / or decorations proposed by the organizer and to be displayed in the Samabe public area for the event by the organizer must be approved in writing by the Samabe Bali.
- No items to be attached, pinned, or glued to the exterior and interior of the wall surface of any part of the complex without prior approval in writing by the Samabe Bali.
- Any equipment and property from the organizer or any other person brought / supply brought from outside of the Samabe Bali is at the owner risk and all outside supplier must register with the security department first before entering the event area
Samabe Hospitality Lounge Policy
- Samabe Bali recognizes the need for a hospitality waiting and welcome are for guest from outside of the Resort. Samabe Hospitality Lounge are available at the Lobby area free of charge for any kind of wedding packages
- For event where the venue is only rented a surcharge of USD 300 net will apply
- The Samabe hospitality lounge must be limited to groups of no more than 40 guests.
- Waiting area can be extended in to the TE.JA.CO. area
Reservation For Event & Function Area

Samabe Bali will reserve the venue area, based on the final agreed requirements and agreed deposit payment. Once the deposit has been received the venue are blocked.
